The workflow
Start with a list and a purpose
Choose an audience list you are authorized to use: customer records, event contacts, a public directory, or professional profiles. State what you need to understand and which fields would help, such as role, company, relevant work, and unresolved questions. Use stable record IDs. Include only necessary professional information; do not infer sensitive traits or missing contact details.
Gather relevant context
For practice, use the fictional sources below in your approved assistant. For a real list, provide permitted source material or use an assistant with an authorized search connection. Look for official company pages, linked professional profiles, and first-hand accounts of relevant work. Save the source URL, retrieval date, and supporting excerpt for each added fact. This exercise does not require a particular provider or automatically connect tools.
Verify the match before assessing fit
Confirm that each source refers to the intended person or company using a stable profile, an official domain, or an explicit link between sources. A matching name alone is not enough. Leave ambiguous fields unknown and flag conflicting or outdated evidence. Keep observed facts separate from fit hypotheses: attending an event or following a topic does not establish product use, buying intent, or permission to contact someone.
Review and hand off the table
Merge by stable record ID and preserve client-owned owner, status, and notes fields. Keep new assessments marked needs_review and retain a separate source ledger. After review, import the table into a separate spreadsheet for each client, or use an authorized connector after confirming the destination. Check the written rows and intended access before sharing. This guide does not create, share, or automatically synchronize a Google Sheet or Notion database.
